Purchasing

From quote request to delivery, one desk.

We send out the bid packages, lay every quote side by side, issue the purchase orders and track each order to delivery. You make every decision; we do the chasing.

From RFQ to Delivery

01
The package goes out
Each vendor gets only the items they supply, with the spec pages for those items. A flooring vendor sees the flooring, not the whole hotel.
02
Quotes come back
Vendors reply by email, usually with a PDF quote; phone quotes count too. We use AI to read the quotes, and a person checks every number before it is used.
Human check
03
One comparison
A single side-by-side view with price, lead time and terms for each item — the cheapest option, the fastest, and the one that keeps everything with fewer vendors.
04
Pushing back on price
When a quote comes in high, we ask the vendor to sharpen it, using the other bids as the benchmark, without naming the competitors.
05
Award
You make the decision. Nothing is awarded automatically.

06
Purchase orders
We issue a PO to each winning vendor. Every PO is reviewed by a person before it is sent.
Human sign-off
07
Tracking
We follow each order through production and shipping to delivery, so a late item is caught early rather than discovered on site.

We remember prices.

Every approved quote becomes part of our price history. On the next project we already know who sells an item and what a fair price looked like.

For Hotel Owners

We are not a furniture dealer. We don’t sell a product line. We run the purchasing: we get quotes from many vendors, compare them, and place and track the orders.

PIP Deadlines

Orders placed sooner.

A brand PIP comes with a deadline. A faster spec book and a faster bid mean orders get placed sooner, and that protects the deadline.

Lead Times

Late items, visible early.

Many FF&E items are built to order and take weeks to arrive. The comparison shows lead time next to price, so a cheap item that arrives too late is visible before anyone buys it.

Budget

A fair price, not the first number.

Several competing quotes on the same item, compared side by side, show what a fair price is.

Fewer Surprises

No wrong chair on the truck.

Quantities and specs come from the source documents, not from someone retyping them, and every order is tracked through to delivery.

One team instead of a dozen vendors. Start with one conversation.
